Job Description

The role of a Document Controller is crucial in any organization that seeks to maintain an orderly and efficient documentation process. As a Document Controller, you will be responsible for ensuring the accuracy, accessibility, and security of both physical and electronic documents. Your role will involve organizing and maintaining company documents, adhering to regulatory requirements, and collaborating with departments across the organization to achieve seamless document management. You will ensure that documents are easily retrievable and that sensitive information is safeguarded while enabling optimal workflow. This position requires a meticulous attention to detail, excellent organizational skills, and proficiency in document management software. Working as a Document Controller, you will support the smooth operation of projects by establishing a reliable documentation system that enhances communication and information sharing within the organization.


Responsibilities

  • Establish and maintain an organized system for storing company documents efficiently.
  • Ensure that all documents adhere to company policies and regulatory guidelines.
  • Improve document retrieval processes to optimize efficiency across all departments.
  • Collaborate with departmental teams to ensure seamless document sharing and communication.
  • Regularly update document management systems to align with current operational needs.
  • Train staff in document handling procedures to maintain system integrity and security.
  • Audit document systems periodically to identify and correct discrepancies or inefficiencies.
  • Safeguard sensitive documents, ensuring only authorized personnel have access.
  • Prepare reports on documentation-based metrics to inform management decisions.
  • Assist in the transition to digital document management systems when necessary.
  • Provide support to project teams by ensuring document accuracy and version control.
  • Review and update document control procedures according to organizational changes.

Requirements

  • Bachelor's degree in business, information management, or a related field.
  • Minimum of two years of experience in document control or management roles.
  • Proficiency with document management software and digital storage solutions.
  • Excellent organizational skills and attention to detail are required.
  • Strong communication skills to facilitate cross-departmental collaboration.
  • Ability to manage multiple tasks while maintaining high standards of accuracy.
  • Experience with auditing processes to ensure compliance and quality control.
