Job Description

As a Document Controller for a site, you will play a crucial role in managing and organizing documentation critical to construction or project-based operations. You will establish and manage the systems for controlling site documents, ensuring that all documents are up-to-date, properly stored, and easily accessible to relevant stakeholders. Working closely with project managers, engineers, and other team members, you ensure the integrity and availability of documents, supporting the smooth operation and progress of site activities. Your responsibilities will include handling electronic and hard copy documents, maintaining strict confidentiality, and ensuring adherence to company and regulatory requirements. A meticulous eye for detail, proficiency with document control software, and strong organizational skills are essential to excel in this role.


Responsibilities

  • Set up and maintain document control systems for various project phases.
  • Ensure all site-related documents are accurate, easily accessible, and updated.
  • Coordinate with project teams to ensure timely submission and approval of documents.
  • Manage distribution of documents to project team members as per requirement
  • Monitor document workflows and approval processes for adherence to standards.
  • Assist in the preparation and dissemination of documents and reports as needed.
  • Ensure strict confidentiality and security of sensitive documentation.
  • Conduct regular audits to ensure compliance with document control standards.
  • Provide training to staff on document control systems and procedures.
  • Resolve any issues related to document management promptly and efficiently.
  • Collaborate with IT teams to address technical issues with document systems.
  • Ensure regulatory and legal compliance in document management practices.

Requirements

  • Bachelor's degree or equivalent experience in document management or related field.
  • Minimum of 3 years experience in a document control role, preferably on-site.
  • Proficiency in document management software and digital archiving solutions.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Excellent communication skills to interact with project teams and external parties.
  • Familiarity with industry-specific document requirements and standards is advantageous.
  • Ability to work independently and handle multiple tasks under tight deadlines.
