Job Description

We are seeking a detail-oriented and organized Document Controller to join our team. As a Document Controller, you will be responsible for managing and overseeing the company's documentation processes to ensure accuracy, quality, and integrity of documentation in support of regulatory requirements and organizational needs. You will play a crucial role in ensuring that all documentation procedures maximize organizational efficiency, maintain regulatory compliance, and support project management activities. Ideal candidates will possess excellent organizational skills, with a keen eye for detail, and the ability to work independently as well as in a team environment. Strong communication and computer skills are essential, along with the ability to prioritize tasks and meet tight deadlines.


Responsibilities

  • Manage and maintain document control systems to ensure efficient documentation processes.
  • Ensure that all documents are up-to-date and reflect current procedures and regulations.
  • Coordinate and follow up on documentation reviews and approvals with relevant stakeholders.
  • Compile and prepare documentation reports for internal and external regulatory audits.
  • Maintain a centralized document repository and oversee document archiving processes.
  • Provide guidance and training to team members on document management procedures.
  • Sync with project managers to ensure timely document submission and approval.
  • Verify accuracy of document metadata prior to record storage or distribution.
  • Standardize document templates, formats, and file naming conventions for consistency.
  • Assist in creating and implementing improved document management practices and policies.
  • Ensure sensitive information is securely stored, following confidentiality guidelines.
  • Monitor and update document lifecycle statuses in accordance with project milestones.

Requirements

  • Bachelor’s degree in Business Administration, Information Management or related field.
  • Proven experience as a Document Controller in a similar role or industry.
  • Proficiency in document management software and Microsoft Office Suite.
  • Excellent organizational and communication skills with great attention to detail.
  • Ability to work independently and manage multiple tasks effectively under time constraints.
  • Familiarity with documentation standards and best practices in a regulated environment.
  • Strong analytical skills and ability to troubleshoot document management issues.
  • Experience in training and supporting staff in documentation processes is preferred.
