Responsibilities

  • Greet and welcome visitors and clients with a friendly demeanor.
  • Answer and redirect incoming phone calls promptly and politely.
  • Maintain the reception area in a tidy and presentable condition.
  • Coordinate with various departments to ensure smooth daily operations.
  • Manage client appointments and schedule meetings effectively.
  • Assist with administrative tasks such as data entry and filing.
  • Handle incoming and outgoing correspondence efficiently and confidentially.
  • Provide basic and accurate information to inquiries over the phone or email.
  • Ensure compliance with the company's security policies and procedures.
  • Support the administrative team with daily tasks and ad-hoc projects.
  • Maintain office supply inventory and place orders as needed.
  • Coordinate with building management for maintenance and security updates.

Requirements

  • High school diploma or equivalent; additional qualifications are a plus.
  • Proven work experience as a Receptionist or relevant role.
  • Proficiency in Microsoft Office Suite and basic computer skills.
  • Strong verbal and written communication skills required.
  • Excellent organizational skills with an attention to detail.
  • Ability to manage multiple tasks and work under pressure.
  • Professional attitude and appearance with strong customer service skills.
  • Familiarity with office equipment such as printers and fax machines.
  • Ability to be resourceful and proactive in unexpected situations.
