Job Description

The Receptionist plays a crucial role as the front-line representative of an organization. Serving as the first point of contact for clients, visitors, and employees, the Receptionist ensures that day-to-day office functions run smoothly. This individual is responsible for greeting visitors with a professional and inviting demeanor, handling incoming calls, and managing correspondence. Attention to detail and exceptional customer service skills are paramount to succeed in this role. The Receptionist must be able to juggle various tasks efficiently while maintaining composure and friendliness. Ideal candidates should possess excellent organizational skills, proficiency in managing digital and physical communications, and the ability to perform under pressure in a fast-paced environment.


Responsibilities

  • Greet visitors and clients with a courteous and professional demeanor.
  • Answer, screen, and forward incoming phone calls efficiently and accurately.
  • Receive and distribute mail and courier packages promptly and correctly.
  • Manage appointment scheduling and confirmation with attention to detail.
  • Maintain the reception area in a neat and tidy condition at all times.
  • Assist in administrative tasks such as filing, photocopying, and data entry.
  • Provide information and assistance to clients and visitors as needed.
  • Ensure security protocol by managing sign-in/sign-out procedures for visitors.
  • Coordinate with office staff regarding meeting room bookings and preparations.
  • Handle sensitive information with confidentiality and discretion consistently.
  • Support management with special projects and other duties as required.
  • Update and maintain office directory and contact lists regularly.

Requirements

  • High school diploma or equivalent education level is required.
  • At least 1-2 years of experience in a receptionist or similar role.
  • Proficiency in Microsoft Office Suite and familiarity with office equipment.
  • Excellent verbal and written communication skills are essential.
  • Strong organizational skills and the ability to multitask effectively.
  • Professional appearance and a positive, approachable personality are a must.
  • Ability to work under pressure and manage competing priorities gracefully.
