Job Description

As the Front Desk Receptionist, you will be the first point of contact for clients and visitors, providing them with exceptional service and ensuring that their journey from entry to exit is seamless. You will manage the flow of information efficiently, performing a variety of administrative and clerical tasks that contribute to the smooth running of the office. Your role is crucial in creating a positive first impression, maintaining a professional and welcoming environment, and ensuring that every interaction reflects the company's commitment to outstanding customer service. Your ability to multitask and communicate effectively across multiple channels will be vital in this dynamic and fast-paced position.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office with accuracy.
  • Answer, screen, and forward incoming phone calls promptly and courteously.
  • Ensure reception area is tidy and presentable, with all necessary stationery and materials.
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort, and distribute daily mail/deliveries to correct recipients.
  • Maintain office security by following safety procedures and controlling access.
  • Order front office supplies and keep inventory of stock.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Assist in the coordination of meetings and appointments for management.
  • Manage and update client databases with accurate and current information.
  • Prepare travel arrangements and related itineraries as requested.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and basic computer operations.
  • Professional attitude and appearance with strong interpersonal skills.
  • Solid written and verbal communication abilities are essential.
  • Excellent organizational skills and multitasking abilities during peak times.
  • High school degree; additional certification in office management is a plus.
  • Ability to be resourceful and proactive when issues arise, ensuring smooth operations.
