Job Description

The Receptionist plays a critical role in creating a welcoming environment and ensuring smooth operations at the front desk. This position requires a professional with exceptional interpersonal skills who will be the first point of contact for clients, visitors, and colleagues. The ideal candidate will have a blend of organizational abilities, communication skills, and a customer-service-oriented approach. The Receptionist will handle a range of administrative duties, manage incoming inquiries, and facilitate communication within the office. This role demands adaptability, attention to detail, and the ability to manage multiple tasks efficiently in a dynamic work setting.


Responsibilities

  • Greet and welcome visitors with a friendly and professional demeanor.
  • Answer and direct phone calls to the appropriate department or individual.
  • Maintain a tidy and presentable reception area and workspace.
  • Assist with administrative tasks including filing, photocopying, and data entry.
  • Schedule and manage appointments, meetings, and conference room bookings.
  • Handle incoming and outgoing mail, packages, and deliveries efficiently.
  • Provide information in-person, by phone, or email to clients and employees.
  • Coordinate communications between clients, vendors, and internal departments.
  • Maintain confidentiality and integrity of sensitive company information.
  • Keep updated records of office expenses and costs when needed.
  • Support the planning and execution of office events and meetings.
  • Ensure office security by following safety procedures and controlling access.

Requirements

  • High school diploma or equivalent; additional qualifications are a plus.
  • Proven experience as a receptionist or in a similar role preferred.
  • Proficient in Microsoft Office Suite and general computer applications.
  • Excellent verbal and written communication skills required.
  • Strong organizational and multitasking abilities in a busy environment.
  • Ability to work both independently and as part of a team.
  • Professional appearance and a positive, customer-oriented attitude.
