Job Description

A receptionist plays a vital role in any organization by serving as the first point of contact for visitors and clients. They are responsible for creating a positive first impression and providing exceptional customer service. Receptionists handle a variety of administrative tasks, including answering phone calls, managing correspondence, and scheduling appointments. They should possess excellent communication and organizational skills while maintaining a professional appearance. A successful receptionist must be adaptable, able to multitask, and possess a basic knowledge of office equipment and procedures. This position requires a proactive attitude and the ability to work independently or as part of a team.


Responsibilities

  • Greet and welcome visitors with a positive, helpful attitude.
  • Answer and direct phone calls to appropriate departments or personnel.
  • Maintain the security by following procedures and controlling access via the reception desk.
  • Handle requests and queries in a timely and accurate manner.
  • Receive, sort, and distribute daily mail or deliveries.
  • Schedule and confirm appointments, meetings, or conference room bookings.
  • Provide basic and accurate information in-person and through phone/email communications.
  • Develop and maintain efficient filing systems for customer and office records.
  • Assist with general office administrative support when needed.
  • Maintain a tidy and presentable reception area at all times.
  • Update appointment calendars and manage meeting rooms for availability.
  • Coordinate with building management for maintenance and other requests.

Requirements

  • High school diploma or equivalent; college degree preferred.
  • Proven work experience as a receptionist, front office representative, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is required.
  • Strong organizational, multitasking, and time-management skills essential.
  • Excellent written and verbal communication skills are necessary.
  • Professional attitude and appearance to maintain corporate image.
  • Familiarity with office equipment such as printers and fax machines.
