Job Description

The role of a Receptionist is pivotal in welcoming guests and offering them an efficient and friendly service at a company's front desk or customer greeting area. As the initial point of contact, a Receptionist ensures all incoming callers and visitors receive a warm and professional welcome, leaving them with a positive impression of the organization. In addition to greeting guests, this role involves various administrative duties such as answering phone calls, managing schedules, and coordinating communication. The ideal candidate for this position will possess excellent communication skills, a welcoming presence, and the ability to multitask effectively in a fast-paced environment. Proficiency in using standard office equipment and software is also crucial for success in this role.


Responsibilities

  • Greet all visitors and ensure that they sign in correctly.
  • Answer, screen, and direct incoming phone calls to appropriate personnel.
  • Maintain a neat and organized reception area for visitors.
  • Receive and sort daily mail, deliveries, and couriers promptly.
  • Schedule appointments and manage the conference room bookings.
  • Assist with administrative tasks such as filing, and photocopying documents.
  • Provide accurate information to inquiries about the company and services.
  • Assist with maintaining office operations by ordering supplies as needed.
  • Coordinate and manage communication between guests and staff efficiently.
  • Handle visitor queries and complaints promptly and professionally.
  • Support the administrative team with special projects when required.
  • Ensure that all office security procedures are adhered to at all times.

Requirements

  • High school diploma or equivalent qualification is required.
  • Previous experience as a receptionist or in a related field preferred.
  • Strong written and verbal communication skills are essential.
  • Proficiency in using office software such as Microsoft Office Suite.
  • Ability to maintain a positive attitude in a fast-paced work environment.
  • Excellent organizational skills with the ability to multitask effectively.
  • Professional appearance and demeanor with strong customer service skills.
