Job Description

A Document Controller is responsible for managing and maintaining all critical documentation within an organization. This role is crucial for ensuring that documents are stored, secured, and easily accessible to authorized personnel. In industries such as construction, engineering, and manufacturing, where documentation plays a vital role in operations and compliance, the Document Controller's expertise is indispensable. This position involves meticulous attention to detail, strong organizational skills, and a thorough understanding of document control procedures. The Document Controller works closely with different departments to ensure that documentation practices align with industry standards and regulations, facilitating efficient management of both physical and electronic documents.


Responsibilities

  • Maintain and update document control processes and management systems accurately.
  • Track and maintain the document approval process to ensure timely sign-offs.
  • Collaborate with different departments for the collection and storage of documents.
  • Ensure that all documentation complies with company policies and regulatory standards.
  • Coordinate the distribution of documents to relevant stakeholders as required.
  • Implement and manage systems for efficiently retrieving and archiving documents.
  • Conduct regular audits of documentation to verify completeness and accuracy.
  • Train employees on documentation procedures and ensure policy adherence.
  • Develop and maintain a records retention schedule for all documentation.
  • Safeguard sensitive and confidential documents with appropriate security measures.
  • Ensure that obsolete documents are managed and disposed of per company policy.
  • Generate reports on document status and distribute them to management as needed.

Requirements

  • Proven experience as a Document Controller or in a similar role.
  • Strong organizational skills with exceptional attention to detail in documentation.
  • Familiarity with document control software and digital filing systems.
  • Excellent written and verbal communication skills are essential.
  • Ability to manage multiple document control projects simultaneously under pressure.
  • Knowledge of industry-specific regulations and compliance requirements.
  • A diploma or bachelor's degree in business administration or a related field is preferred.
