We are seeking an experienced and personable Receptionist to join our dynamic team. As the first point of contact for our company, the ideal candidate will possess excellent communication skills and a warm, professional demeanor. You will be responsible for managing the front desk area, greeting visitors, and handling incoming inquiries with utmost professionalism. The successful candidate will ensure a welcoming atmosphere, while efficiently managing administrative tasks. This role requires someone who is organized, detail-oriented, and who thrives in a fast-paced environment. Your contributions will be essential to maintaining the smooth daily operations of our office and providing exceptional support to both clients and staff members.


Responsibilities

  • Greet and welcome visitors with a professional and friendly attitude.
  • Answer and direct phone calls to the appropriate departments or individuals.
  • Maintain the reception area to ensure cleanliness and overall organization.
  • Manage and distribute incoming and outgoing mail and packages daily.
  • Handle inquiries in a courteous and efficient manner, providing accurate information.
  • Coordinate with office staff to facilitate meetings and room reservations.
  • Assist with various administrative tasks such as filing and photocopying as needed.
  • Monitor and order office supplies, ensuring stocks are maintained adequately.
  • Keep records of office expenses and ensure a proper filing system is in place.
  • Provide support during company events and manage guest lists accordingly.
  • Utilize office equipment such as printers and fax machines competently.
  • Maintain security by following procedures and controlling access via the reception desk.

Requirements

  • Previous experience as a receptionist or in a related administrative role.
  • Excellent verbal and written communication skills are essential.
  • Proficient in Microsoft Office Suite and familiarity with office equipment.
  • Strong organizational skills with the ability to multitask effectively.
  • Professional appearance and strong customer service skills are required.
  • Ability to handle stressful situations with composure and professionalism.
  • High school diploma or equivalent; additional qualifications are advantageous.
