Job Description

A Personal Assistant (PA) plays a vital role in supporting senior executives, managers, or busy individuals by providing dedicated administrative and personal aid essential for successful performance. As a Personal Assistant, your primary duty is to perform a broad array of tasks aimed at enhancing the productivity and efficiency of those you support. You will manage schedules, organise meetings, handle correspondence, and perform additional personal chores as required. An effective PA must possess excellent organisational skills, communication proficiency, and the ability to manage confidential information with discretion. The role also demands a proactive attitude, the capacity to handle multiple tasks under tight deadlines, and a keen attention to detail. Responsibilities

  • Manage and organise calendars, appointments, and meetings efficiently for the executives.
  • Coordinate travel arrangements including flights, accommodation, and itinerary planning.
  • Maintain comprehensive records and filing systems to ensure quick information retrieval.
  • Handle all correspondence, including emails, letters, and phone calls, professionally and timely.
  • Prepare documents, reports, and presentations required by the executive team.
  • Assist with various personal tasks as needed, such as errands and scheduling personal appointments.
  • Liaise with internal and external stakeholders to facilitate communication and information exchange.
  • Ensure discretion and confidentiality regarding all sensitive business matters and personal information.
  • Conduct research and gather relevant information to support decision making processes.
  • Provide general administrative support such as copying, scanning, and faxing documents.
  • Monitor office supplies and place orders to ensure a smoothly functioning workspace.
  • Execute other ad hoc duties as required to support the overall effectiveness of the role.

Requirements

  • Proven experience as a Personal Assistant or relevant administrative role.
  • Excellent organisational and time-management skills with the ability to prioritise tasks.
  • Strong verbal and written communication skills are essential.
  • Proficient in MS Office Suite and general computer literacy.
  • Ability to work independently and take initiative in problem solving.
  • High level of discretion in handling confidential and sensitive information.
  • Flexibility to adapt to changing circumstances and varying demands.
