Job Description

An Executive Assistant plays a vital role in the effective functioning of top-level executives by providing comprehensive administrative support. This role demands a high level of professionalism, confidentiality, and attention to detail, as you will be involved in critical business operations and decision-making processes. As an Executive Assistant, you are the right-hand person to executives, ensuring their schedules run smoothly, communications are efficient, and information is organized and accessible. You are responsible for prioritizing tasks, managing calendars, and acting as a gatekeeper for the executives. Additionally, your role might include preparing reports, conducting research, and liaising with other departments. Your presence helps maintain the rhythm of the office while facilitating seamless communication within the company and with external stakeholders.


Responsibilities

  • Manage executives' calendars by scheduling meetings, conferences, and events efficiently.
  • Coordinate travel arrangements including flights, accommodation, and transportation for executives.
  • Organize and maintain confidential files, records, and other important documents.
  • Prepare and edit correspondence, communications, presentations, and other documents as needed.
  • Facilitate communication between executives and internal or external stakeholders with professionalism.
  • Conduct research to prepare executive presentations, reports, and briefing materials.
  • Screen incoming calls and emails, determining their level of importance and handling accordingly.
  • Prioritize and manage multiple projects simultaneously, meeting deadlines consistently.
  • Respond to requests for information in a timely and accurate manner.
  • Liaise with clients, board members, and other executives to coordinate project deliverables.
  • Assist in planning and executing organizational meetings and company events effectively.
  • Maintain an organized and efficient office environment to support executive functions.

Requirements

  • Bachelor’s degree in Business Administration or a related field preferred.
  • Minimum of 3 years experience in an executive or administrative assistant role.
  • Strong organizational skills, with the ability to multitask and prioritize effectively.
  • Excellent written and verbal communication skills for diverse audiences.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Demonstrated ability to handle confidential and sensitive information discreetly.
  • Exceptional interpersonal skills and a professional demeanor at all times.
