Job Description

An Admin Assistant plays a crucial role in ensuring the smooth operation of daily business activities. This position requires a highly organized individual who can manage multiple tasks, support office staff, and maintain efficient and welcoming office environments. As an integral part of the administrative team, the Admin Assistant is responsible for providing support to managers and staff members. The ideal candidate will possess excellent communication skills, both written and verbal, and have a keen eye for detail. An Admin Assistant must be adaptable, proactive, and able to manage sick calls, meeting scheduling, and data entry tasks with ease. This role offers the opportunity to contribute significantly to the organization, maintaining an orderly workflow and supporting business objectives.


Responsibilities

  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
  • Coordinate and schedule meetings, appointments, and travel arrangements for managers and supervisors.
  • Prepare meeting agendas, perform research for meetings, and take meeting minutes.
  • Assist in the planning and coordination of company events and team-building activities.
  • Maintain office supply inventories and place orders proactively to ensure timely replenishment.
  • Provide administrative support to ensure efficient operation of the office.
  • Assist in the preparation of regularly scheduled reports and presentations.
  • Organize and maintain digital and physical filing systems for company records.
  • Answer and direct phone calls, providing excellent customer service as a first point of contact.
  • Manage incoming and outgoing correspondence, including emails, memos, and mail.
  • Provide operational support for office equipment, ensuring its proper maintenance and usage.
  • Supporting senior leadership with organizational projects and miscellaneous tasks as required.

Requirements

  • Proven experience as an Admin Assistant or in other administrative support roles.
  • Proficient in MS Office Suite (MS Excel, Word, and PowerPoint) with strong computer literacy.
  • Excellent time management skills and ability to multitask and prioritize work.
  • Attention to detail and problem-solving skills are essential for this position.
  • Strong organizational and planning skills in a fast-paced environment.
  • High school diploma or equivalent education required, higher education preferred.
  • Strong communication skills and professional demeanor to interact with diverse staff and clients.
