Job Description

The Administration Executive - Leasing plays a pivotal role in coordinating all administrative duties related to the leasing operations of a company. This position involves close collaboration with the leasing team to ensure efficient and timely management of leasing agreements, tenant communications, and documentation. The ideal candidate will possess strong organizational skills, a keen eye for detail, and the ability to handle multiple tasks simultaneously. By maintaining smooth leasing processes, the Administration Executive helps in optimizing occupancy rates and enhancing tenant satisfaction. This role requires a proactive individual who can navigate complex administrative tasks and contribute positively to the leasing team's overall goals.


Responsibilities

  • Manage and coordinate all administrative tasks related to leasing processes and requirements.
  • Assist with the preparation and execution of leasing contracts and related documentation.
  • Maintain accurate and up-to-date records of all leasing transactions and tenant details.
  • Serve as the main point of contact for tenant queries and leasing inquiries.
  • Coordinate with the leasing team to prioritize and schedule property viewings.
  • Ensure compliance with all legal and organizational leasing policies and procedures.
  • Prepare and distribute regular leasing reports for management review and analysis.
  • Support tenant onboarding activities, ensuring a smooth transition and move-in process.
  • Collaborate with finance to ensure timely rent collection and resolve billing issues.
  • Liaise with property management to address maintenance requests and facility needs.
  • Assist in the development and implementation of leasing strategies and activities.
  • Participate in team meetings, providing updates on administrative activities and insights.

Requirements

  • Bachelor's degree in business administration or a related field preferred.
  • Proven experience in administrative roles, particularly in leasing or real estate.
  • Strong organizational and multitasking skills with great attention to detail.
  • Excellent communication skills, both written and verbal, for tenant interactions.
  • Proficiency in Microsoft Office Suite, including Word and Excel, for reporting tasks.
  • Ability to work independently and collaboratively within a team to achieve objectives.
  • Familiarity with leasing management software and tools is an advantage.
