Job Description

We are seeking a professional and personable Front Desk Receptionist to join our dynamic team. The Front Desk Receptionist will be responsible for managing the first impressions of our clients, visitors, and employees. You will be stationed at the company's front desk, where your primary role is to provide courteous service and manage communication efforts within the company. As the face and voice of our organization, it is crucial that you exude friendliness, confidence, and maintain a polished demeanor at all times. Your ability to handle a wide range of administrative and executive support tasks will be essential in this role. This position offers an opportunity for growth and requires a dedicated person who excels in a high-paced environment.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office without delay.
  • Answer, screen, and forward incoming phone calls professionally.
  • Ensure reception area is tidy and presentable, with all necessary materials.
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort, and distribute daily mail and deliveries efficiently.
  • Maintain office security by following safety procedures and controlling access.
  • Update calendars and schedule meetings when necessary.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Assist other administrative staff with overflow work, including word processing.
  • Keep records of office expenses and costs up to date.
  • Order front office supplies and keep an inventory of stock.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite, especially Excel and Word.
  • Hands-on experience with office equipment, such as fax machines and printers.
  • Excellent communication and interpersonal skills are essential.
  • Solid written and verbal communication skills in English.
  • Multitasking and time-management skills with the ability to prioritize tasks.
  • High school degree; additional certification in Office Management is a plus.
