Job Description

A Receptionist cum Admin plays a vital role in ensuring smooth operations at the front office and administrative support within an organization. This professional will be the first point of contact for clients and visitors, representing the company in the best light. In addition to handling reception duties such as answering phone calls and greeting visitors, the Receptionist cum Admin will also provide administrative assistance like managing office supplies, scheduling appointments, and maintaining records. The ideal candidate should possess excellent communication skills, a friendly demeanor, and strong organizational capabilities. A Receptionist cum Admin is essential in creating a welcoming environment while also ensuring back-office efficiency, contributing to the overall productivity and image of the business.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office for their appointments.
  • Answer, screen, and forward incoming phone calls professionally and promptly.
  • Provide basic and accurate information in-person, via phone, and email.
  • Receive, sort, and distribute daily mail and deliveries efficiently.
  • Maintain office security by following safety procedures and controlling access.
  • Update calendars and schedule meetings, ensuring no conflicts arise.
  • Ensure the reception area remains tidy and presentable, with all necessary materials.
  • Maintain and order office supplies to prevent any disruption of daily tasks.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Assist with administrative projects and support other departments as needed.
  • Monitor visitor access and maintain security awareness within the premises.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Professional appearance and willing to represent the company professionally.
  • Solid written and verbal communication skills for effective interaction.
  • Ability to be resourceful, proactive, and handle issues quickly in a dynamic environment.
  • Excellent organizational skills and multitasking abilities in a fast-paced setting.
  • High school diploma or equivalent, with additional reception or administration experience preferred.
