Responsibilities

  • Coordinate and oversee daily office activities, ensuring efficient operations at all times.
  • Manage communication, including emails, phone calls, and correspondence on behalf of the company.
  • Maintain and organize office files, records, and documentation to ensure easy retrieval when needed.
  • Oversee inventory and supply management, including ordering and maintaining necessary office equipment.
  • Support staff by providing information, answering questions, and assisting in problem resolution.
  • Schedule and coordinate meetings, appointments, and travel arrangements for managers and staff.
  • Assist in preparing reports, presentations, and data entry tasks as required by management.
  • Implement and uphold office policies, procedures, and standards to promote compliance and efficiency.
  • Handle confidential and non-routine information with discretion and professional judgment.
  • Coordinate maintenance services to ensure a safe and functional office environment for all staff.
  • Foster a positive office culture and environment, driving team engagement and morale.
  • Participate in office meetings and contribute to administrative planning and development initiatives.

Requirements

  • Proven experience in an administrative or office management role, with excellent references.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) required.
  • Exceptional organizational skills, with the ability to multitask and prioritize effectively.
  • Strong verbal and written communication skills to interact with all levels of staff and clients.
  • Detail-oriented and capable of managing sensitive information confidentially and discreetly.
  • Excellent problem-solving skills and the ability to work independently as well as in a team.
  • Degree in Business Administration or a related field is preferred but not mandatory.
