A Medical Records Assistant is an essential member of the healthcare team, responsible for managing and maintaining patient information within a medical facility. This role involves a blend of administrative duties and interaction with healthcare professionals to ensure that patient records are accurate, confidential, and up-to-date. Medical Records Assistants play a critical role in the smooth operation of healthcare services by facilitating effective record-keeping and data management strategies. They must possess strong organizational skills, keen attention to detail, and the ability to handle sensitive information with discretion. This position requires an understanding of medical terminology and regulations related to health information, as well as proficiency in electronic health records systems.


Responsibilities

  • Manage and maintain accurate and up-to-date patient medical records and documentation.
  • Coordinate with healthcare providers to ensure the availability of required patient information.
  • Ensure compliance with legal and regulatory requirements related to health information.
  • Handle sensitive patient information with the utmost confidentiality and professionalism.
  • Assist in the transition of paper records to electronic health record systems.
  • Provide support during audits and inspections by preparing and presenting required documents.
  • Collaborate with other departments to ensure seamless information flow and communication.
  • Review medical records for completeness, accuracy, and compliance with healthcare regulations.
  • Answer inquiries concerning patient records from authorized personnel and patients.
  • Train and support staff in the use of electronic health record systems and processes.
  • Maintain knowledge and stay updated on changes in health information management practices.
  • Assist in data entry, retrieval, and analysis for reporting and quality improvement initiatives.

Requirements

  • A high school diploma or equivalent; an associate degree is preferred.
  • Previous experience working with medical records in a healthcare setting.
  • Proficiency in using electronic health records (EHR) systems and related software.
  • Strong knowledge of medical terminology and healthcare regulations is essential.
  • Excellent organizational skills and keen attention to detail are essential for success.
  • Ability to communicate effectively with healthcare professionals and patients.
  • Demonstrated ability to maintain confidentiality and handle sensitive information.
  • Strong problem-solving skills and the ability to work independently and in a team.
