Job Description

As an Operations Assistant, you will play a crucial role in supporting the day-to-day operations of the company. This versatile position involves a wide array of tasks, including coordinating logistics, managing schedules, and fostering communication across various departments. You will be instrumental in streamlining processes and ensuring that all business operations are conducted efficiently and smoothly. This role requires excellent organizational skills, attention to detail, and the ability to multitask in a dynamic and fast-paced environment. As the backbone of the operational team, your contributions will be vital in maintaining and improving the company’s performance, making your position both challenging and rewarding. Your interactions will span across different teams, providing a cohesive operational experience, and ensuring services are delivered at the highest standard. 


Responsibilities

  • Assist in the coordination and management of daily operational activities, ensuring seamless workflow.
  • Maintain and update accurate records of operational processes and transactions in organizational systems.
  • Develop and implement effective communication strategies to facilitate inter-departmental collaboration.
  • Organize and schedule meetings and appointments, ensuring efficient time management.
  • Provide administrative support by preparing reports, presentations, and correspondence for various departments.
  • Assist in the procurement process, including sourcing, evaluating, and managing vendor relationships.
  • Monitor and control inventory levels to guarantee timely supply of operational materials.
  • Serve as a point of contact for addressing operational inquiries and resolving issues as they arise.
  • Support data entry tasks to maintain accurate and up-to-date records across platforms.
  • Implement and monitor adherence to company policies and procedures in daily operations.
  • Collaborate with team members to continuously improve operational processes and procedures workflow.
  • Assist with special projects and take on additional duties as needed to support organizational goals.


Requirements

  • Bachelor’s degree in Business Administration, Management, or related field preferred.
  • At least two years of experience in an operations or administrative support role.
  • Strong organizational skills and ability to multitask effectively in a dynamic environment.
  • Excellent verbal and written communication skills to articulate information clearly.
  • Proficiency in using office software such as Microsoft Office Suite and resource management systems.
  • Strong problem-solving skills with the ability to resolve operational challenges efficiently.
  • High level of attention to detail and commitment to accuracy in all tasks.
