Job Description

As an Executive Assistant to the CEO, your primary role will be to provide high-level administrative support, ensuring the smooth operation of the CEO's office. You will be an integral part of the executive leadership team, aiding the CEO in a range of tasks that will contribute to the overall efficiency and success of the organization. You must possess exceptional organizational and communication skills, while also having the ability to handle sensitive information with the utmost discretion. By managing the CEO's daily schedule, coordinating meetings, and facilitating communication, you will play an indispensable role in maintaining a productive and well-ordered work environment.


Responsibilities

  • Manage and organize the CEO's calendar, ensuring optimal time management and task prioritization.
  • Coordinate and arrange all business travel plans and related logistics for the CEO.
  • Serve as a primary point of contact for internal and external communications on behalf of the CEO.
  • Draft, review, and edit CEO correspondence, ensuring clarity and professionalism.
  • Prepare briefing materials and presentations for meetings, ensuring the CEO is well-prepared.
  • Assist in managing key projects and initiatives as directed by the CEO.
  • Schedule and coordinate meetings, conferences, and events for the CEO and executive team.
  • Handle confidential information with discretion and maintain a high level of professionalism.
  • Facilitate communication and collaboration between the CEO and various departments.
  • Conduct research and compile reports to aid the CEO in decision-making.
  • Oversee administrative functions, ensuring alignment with organizational goals and values.
  • Respond to and efficiently triage incoming correspondence and requests for the CEO's attention.

Requirements

  • Bachelor's degree in Business Administration or a related field preferred.
  • Minimum of 5 years of experience in executive-level administrative support roles.
  • Exceptional organizational skills with the ability to manage multiple tasks efficiently.
  • Strong written and verbal communication skills to effectively interact at all levels.
  • Profound ability to handle sensitive issues and maintain confidentiality consistently.
  • Proficient in Microsoft Office Suite and other relevant office management software.
  • Demonstrated experience in calendar management, travel coordination, and meeting organization.
  • Strong problem-solving skills and a proactive approach to administrative tasks.
  • Ability to work independently, show initiative, and thrive in a fast-paced environment.
