Job Description

An Executive Assistant plays a crucial role in the business operations by providing high-level support to executives and senior managers. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems while maintaining a high level of professionalism and confidentiality. The Executive Assistant will be responsible for a wide array of duties which require excellent organizational skills, impeccable attention to detail, and a proactive approach to ensure smooth business operations. The ideal candidate will act as a liaison between the executive team and internal as well as external stakeholders while handling communications, scheduling, and travel arrangements. This position requires a highly resourceful individual with strong emotional intelligence, self-motivation, and the ability to work autonomously.


Responsibilities

  • Manage sensitive matters with a high level of confidentiality and discretion.
  • Draft, review, and send communications on behalf of company executive.
  • Organize and prepare for meetings, including gathering documents and attending to logistics.
  • Answer and respond to phone calls, communicate messages and information to executives.
  • Prioritize emails and respond when necessary, ensuring executives are timely informed of any matters of importance.
  • Coordinate travel arrangements for business-related trips, including booking air, hotel, and transportation reservations.
  • Conduct research and prepare reports on a variety of topics for decision-making purposes.
  • Maintain a comprehensive filing system that ensures access to critical documentation.
  • Assist with the company's budget planning and track office expenditures.
  • Support office staff in the daily operational activities and assist with ad hoc administrative tasks.
  • Develop presentations and prepare reports for executive decision-making sessions.
  • Serve as a primary point of contact for internal and external stakeholders on all matters.

Requirements

  • Bachelor's degree in Business Administration or related field preferred.
  • A minimum of 3-5 years of experience in a similar executive support role.
  • Proficiency in Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
  • Exceptional organizational skills and impeccable attention to detail are essential.
  • Ability to work independently with a high degree of motivation and decision-making skills.
  • Strong verbal and written communication skills to effectively liaise with clients and team members.
  • Capacity to manage multiple tasks and changing priorities in a fast-paced environment.
