Role Overview:

A Document Controller in OTIS plays a critical role in managing, organizing, and maintaining all project-related documentation. This position ensures that all documents are systematically filed, easily accessible, and up-to-date, supporting the project team in executing construction projects efficiently and effectively.

Key Responsibilities:

  • Document Management: Oversee the lifecycle of documents, including creation, review, approval, distribution, and archiving, ensuring compliance with industry standards and company policies.
  • Quality Assurance: Ensure all documentation is accurate, complete, and meets the required quality standards before submission or distribution.
  • Project Coordination: Collaborate with project managers, engineers, architects, and other stakeholders to gather necessary documentation and ensure smooth communication across teams.
  • Version Control: Maintain version control and track changes to documents, ensuring the most recent and relevant information is accessible to the team.
  • Security and Confidentiality: Implement security measures to protect sensitive information and ensure confidentiality is maintained throughout the documentation process.
  • Software Utilization: Utilize document management software and systems to facilitate efficient document handling and retrieval.
  • Training and Support: Provide training and support to team members on document control processes and systems, ensuring everyone is equipped to manage documentation effectively.

On a typical day you will:

  • Prepare and Maintain incoming and outgoing logs for Non Standard Projects.
  • Support the Engineering team for Sample board submissions
  • Submit the all engineering documents to the Contractor
  • Co-ordinate with Engineering team for any incoming responses / letter
  • Preparing and Submitting Engineering Documents to the projects (Drawings, Materials, RFIs, Method Statements, WIRs, etc)
  • Submit the ex-Works Letters for non-Standard projects
  • Document Back Up in SharePoint
  • Any miscellaneous Documentation works

What You Will Need to be Successful:

  • Associate degree in Business Administration/Management or equivalent
  • Relevant certification such as DCC Certified Document Controller (CDC) or equivalent
  • Minimum of 8-10 years of relevant experience in documenting procedures and handling confidential information for large scale projects
