Job Description

As a Document Controller, you will play a crucial role in the efficient management of documents within our organization. Your primary responsibility will be to ensure that all company documentation is accurately recorded, maintained, and easily accessible. This role is critical to the smooth operation of projects and involves interacting with different departments to manage the flow of documents. Attention to detail and the ability to organize and manage multiple documents simultaneously are paramount in this role. You will be responsible for implementing document management systems, ensuring compliance with regulatory and company standards, and coordinating with team members to facilitate the timely distribution of information.


Responsibilities

  • Manage and maintain all incoming and outgoing documents systematically and accurately.
  • Organize and file documents both electronically and in paper formats as necessary.
  • Develop and implement document management policies, procedures, and standards.
  • Ensure all documents are up to date and meet the necessary regulatory requirements.
  • Coordinate with various departments to ensure documents are distributed timely and effectively.
  • Establish and maintain a document control database for easy accessibility and retrieval.
  • Monitor and track document versions to prevent data mishandling and errors.
  • Conduct regular audits to ensure compliance with document management protocols.
  • Assist in training staff on document control processes and the importance of maintaining accurate records.
  • Implement and use document management software to streamline processes.
  • Provide administrative support and assistance to project teams as required.
  • Prepare regular reports on document status and management issues to higher management.

Requirements

  • Bachelor’s degree in business administration, information management, or related field.
  • Proven experience as a Document Controller or in a similar administrative role.
  • Strong organizational skills and attention to detail are essential for this role.
  • Proficiency in Microsoft Office suite and document management software a must.
  • Excellent communication skills, both verbal and written, with team collaboration experience.
  • Ability to work independently and manage multiple tasks efficiently under tight deadlines.
  • Familiarity with document management regulations and quality standards for compliance.
