Job Description

The Administrative Assistant plays a vital role in ensuring the efficient operation of an office. This role involves performing a wide range of administrative and clerical tasks to support our teams and managers. The Administrative Assistant is often the first point of contact for inquiries, assisting with day-to-day operations while ensuring all administrative activities are completed accurately and delivered with high quality in a timely manner. You will handle incoming and outgoing communications, manage diaries and schedules, and coordinate meetings and travels. This role requires a proactive individual with a firm grasp of office technology and an ability to work efficiently with minimal supervision.


Responsibilities

  • Answer and direct phone calls with professionalism and attention to detail.
  • Organize and schedule appointments to ensure efficient meeting flow.
  • Plan meetings and take detailed minutes to capture key points and actions.
  • Write and distribute emails, correspondence memos, and letters efficiently.
  • Assist in the preparation of regularly scheduled reports with data accuracy.
  • Develop and maintain a filing system to ensure records are easily accessible.
  • Update and maintain office policies and procedures as needed.
  • Order office supplies and research new deals and suppliers for cost-efficiency.
  • Maintain contact lists with up-to-date information for seamless communication.
  • Book travel arrangements, including flights and accommodations as required.
  • Submit and reconcile expense reports in a timely manner.
  • Provide general support to visitors, ensuring a warm welcome and assistance.

Requirements

  • Proven experience as an Administrative Assistant or in a similar role.
  • Proficiency in MS Office (MS Word, MS Excel, and MS PowerPoint).
  • Excellent written and verbal communication skills are essential.
  • Strong organizational skills with a keen ability to multitask effectively.
  • Attention to detail and problem-solving skills are required.
  • High School degree; additional qualification as an Administrative Assistant is a plus.
  • Ability to prepare reports and presentations using various software tools.
