Job Description

The role of a Senior Document Controller is pivotal within an organization, especially those engaged in complex projects or dealing with copious amounts of critical documentation. This professional is responsible for managing and maintaining all company documents and ensuring their accuracy, quality, and integrity over the document lifecycle for various stakeholders. As a Senior Document Controller, you will oversee the efficient storage, tracking, and retrieval systems of both digital and physical documents in line with the company's data management policies. Furthermore, you will be in charge of ensuring timely updates and distribution of documents to ensure that team members are using the most current versions. This role requires excellent organizational, communication, and leadership skills to coordinate with various departments and ensure compliance with regulatory standards.


Responsibilities

  • Oversee the document control process and ensure compliance with company standards.
  • Manage the electronic and hard copy filing of project-related technical documentation.
  • Ensure all documentation is accurately filed and easily retrievable by authorized personnel.
  • Coordinate with team members to circulate the latest document revisions and updates.
  • Develop and maintain document control processes and procedures for project success.
  • Train and mentor junior document controllers on best practices and company standards.
  • Monitor the use of documents and coordinate with project teams to ensure compliance.
  • Facilitate document reviews, approvals, and distributions according to set timelines.
  • Create and maintain registers and logs for all incoming and outgoing project documentation.
  • Contribute to the improvement of document management systems and procedures.
  • Act as the point of contact for document-related inquiries from internal and external stakeholders.
  • Ensure the security and confidentiality of sensitive project documentation at all times.

Requirements

  • Bachelor's degree in Business Administration, Information Management, or related field preferred.
  • Minimum of 5 years of experience in document control or a similar role.
  • Proficiency in document management software and Microsoft Office suite.
  • Strong attention to detail with excellent organizational and time management skills.
  • Knowledge of ISO standards and best practices for document control systems.
  • Ability to manage multiple tasks efficiently with proficient problem-solving skills.
  • Excellent communication and interpersonal skills to liaise with all levels of staff.
