Job Description

The role of a receptionist is pivotal in maintaining the smooth functioning of an organization. Positioned at the front line of interaction, the receptionist is often the first point of contact for clients, visitors, and employees. This role is essential in creating a positive impression and ensuring that the workflow of the office is uninterrupted. A receptionist must possess strong communication skills, organizational abilities, and a gracious demeanor to support various administrative tasks. The receptionist is responsible for greeting visitors, answering inquiries, managing appointments, and assisting with clerical tasks, all while maintaining a professional environment. This position offers a dynamic work experience, offering opportunities to interact with a variety of individuals daily.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person or department effectively.
  • Answer, screen, and forward incoming phone calls promptly and courteously.
  • Ensure the reception area is tidy and presentable, with all necessary stationery and material.
  • Provide basic and accurate information in-person and via telephone or email.
  • Receive, sort, and distribute daily mail or courier deliveries efficiently.
  • Maintain office security by following safety procedures and controlling access.
  • Order front office supplies and keep an inventory of stock to ensure availability.
  • Update calendars and schedule meetings upon request or need.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Assist colleagues with administrative tasks and ad hoc projects as needed.
  • Coordinate with facilities management for any office maintenance or repair requirements.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.).
  • Hands-on experience with office equipment like printers and fax machines.
  • Professional attitude and appearance with excellent organizational skills.
  • Strong written and verbal communication skills essential for effective interaction.
  • Ability to be resourceful and proactive when issues arise or problem-solving is needed.
  • Customer service attitude with a mindset towards helping others and problem resolution.
