Job Description

The role of a Receptionist is essential in maintaining the smooth operation of any organization. As the first point of contact for clients, visitors, and staff, the Receptionist ensures a welcoming experience while efficiently directing inquiries and managing communication. The role requires exemplary organizational skills, professional demeanor, and the ability to multitask under pressure. A Receptionist handles incoming calls, schedules appointments, manages correspondence, and performs various administrative tasks. Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office location efficiently.
  • Answer, screen, and forward incoming phone calls professionally.
  • Ensure the reception area remains tidy and presentable at all times.
  • Receive daily mail/deliveries, sort them, and distribute accordingly.
  • Maintain office security by following safety procedures and controlling access.
  • Update calendars and schedule meetings as necessary for management.
  • Assist colleagues with administrative tasks and clerical duties as required.
  • Maintain and update company contact lists regularly for accuracy.
  • Provide basic and accurate information in-person and via phone/email.
  • Order office supplies and keep an inventory of stock available for the team.
  • Assist in the preparation of presentations and reports for meetings.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Hands-on experience with office equipment, including printers and fax machines.
  • Proficiency in MS Office Suite and data entry software applications.
  • Professional attitude and appearance suitable for a corporate environment.
  • Solid written and verbal communication skills in English are essential.
  • Exceptional customer service skills, with the ability to handle complaints diplomatically.
  • Excellent organizational abilities and attention to detail in task completion.
