As an Office Assistant, you will play a crucial role in ensuring the smooth and efficient operation of our office. You will be the first point of contact for visitors and serve as a valuable resource for colleagues, providing comprehensive administrative support. Responsibilities

  • Coordinate and manage communication by answering phone calls and emails promptly.
  • Greet visitors and clients warmly and make sure they feel comfortable and are directed appropriately.
  • Schedule appointments and maintain organized calendars for the office staff efficiently.
  • Assist in the preparation and organization of meetings, workshops, and other office events.
  • Manage office supplies and ensure that inventory is always stocked and organized.
  • Perform data entry tasks to maintain accurate and up-to-date office records.
  • Assist with the preparation of office correspondence, reports, and presentations as needed.
  • Handle filing and retrieval of documents, ensuring accuracy and confidentiality are maintained.
  • Liaise with building management and external partners as necessary for office maintenance services.
  • Provide support in office maintenance tasks, helping to keep the environment clean and organized.
  • Support the onboarding process by preparing workstations and documentation for new hires.
  • Contribute to team efforts by accomplishing related tasks as needed in a timely manner.

Requirements

  • High school diploma or equivalent is required, college degree preferred.
  • Proven experience as an office assistant or another relevant administrative role.
  • Excellent communication and interpersonal skills are essential for this role.
  • Strong organizational and time management skills with meticulous attention to detail.
  • Proficiency in Microsoft Office Suite and office equipment operation is required.
  • Ability to multitask effectively and adapt quickly to changing priorities and tasks.
  • Basic knowledge of office management systems and procedures is an advantage.
