Job Description

An Admin Assistant II plays a crucial role in maintaining the efficiency and effectiveness of an office or department. This role encompasses a wide range of administrative and clerical tasks that support the day-to-day operations of the organization. The individual in this position will be responsible for managing schedules, organizing and maintaining files, preparing reports, and providing general administrative support to team members and executives. As an Admin Assistant II, you will also coordinate and communicate effectively within the team and with external partners. The role requires a high level of organization, attention to detail, and the ability to multitask in a fast-paced environment. Strong communication skills and discretion are paramount, as you will often handle sensitive information.


Responsibilities

  • Manage and organize executives’ and managers’ schedules and appointments effectively.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Coordinate meetings, appointments, and travel arrangements for managers and staff.
  • Perform general office duties such as ordering supplies and maintaining records.
  • Facilitate communication within departments and external stakeholders professionally.
  • Assist in the preparation of regularly scheduled reports and presentations.
  • Schedule and coordinate staff and other meetings as required.
  • Maintain a filing system that ensures document accessibility and confidentiality.
  • Answer and direct phone calls, emails, and other inquiries to appropriate parties.
  • Support financial operations by completing data collection, verification, and reporting.
  • Handle all administrative tasks with the utmost discretion and confidentiality.
  • Contribute to team efforts by accomplishing related results as needed.

Requirements

  • High school diploma or equivalent; additional certification is a plus.
  • Minimum of 2 years of experience in a similar administrative role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational skills with the ability to multitask efficiently.
  • Excellent written and verbal communication skills are required.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Familiarity with office management systems, procedures, and basic accounting principles.
