Job Description

A Wedding & Events Coordinator is a dynamic and highly organized professional responsible for orchestrating seamless and memorable events. Specializing primarily in weddings, this role demands a keen eye for detail, excellent interpersonal skills, and an ability to manage multiple tasks diligently. This position involves working closely with clients to understand their vision, preferences, and budget, and translating these into reality by coordinating with vendors and ensuring the smooth execution of events. The position requires both creativity in planning aesthetically captivating events and problem-solving skills to address any challenges that might arise. A Wedding & Events Coordinator must be comfortable in fast-paced environments and be able to adapt plans under time constraints, ensuring client satisfaction and achieving a successful event outcome.


Responsibilities

  • Collaborate with clients to develop detailed event timelines and plans.
  • Negotiate contracts with vendors, suppliers, and venues for weddings and events.
  • Manage all event logistics, ensuring seamless execution of every aspect.
  • Coordinate with vendors for catering, entertainment, and decorations as specified by clients.
  • Create budgets and ensure events are executed within financial constraints.
  • Oversee event setup and breakdown, ensuring all details meet client expectations.
  • Maintain clear and effective communication with clients and vendors throughout planning.
  • Ensure compliance with health, safety, and legal obligations during events.
  • Assist with development and execution of marketing strategies to attract clients.
  • Organize and conduct rehearsals when necessary to ensure smooth event operation.
  • Manage real-time event troubleshooting and address any issues promptly.
  • Provide post-event feedback analysis and reporting for continuous improvement.

Requirements

  • Bachelor’s degree in event management, hospitality, or a related field preferred.
  • At least two years of experience coordinating weddings and/or events required.
  • Exceptional organizational skills and ability to multitask effectively under pressure.
  • Strong negotiation skills and experience with vendor and contract management.
  • Excellent communication skills with a strong attention to detail and problem solving.
  • Proficiency with event management software and tools for efficient planning.
  • Willingness to work flexible hours, including weekends and holidays, as needed.
