Job Description

As a key representative of our organization, the Receptionist plays an integral role in creating a welcoming atmosphere for both clients and staff. This position is responsible for managing the front desk and ensuring seamless communication and operations within the office. The ideal candidate will possess exceptional customer service skills, a keen ability to multitask, and a friendly demeanour to make guests feel at ease. The role also involves handling various administrative duties which contribute to the efficient functioning of the organization. You will work closely with other office staff, supporting them with essential tasks that ensure smooth office operations and promote a positive company image.


Responsibilities

  • Greet visitors and direct them to the appropriate staff members or departments.
  • Answer and route incoming calls in a polite and efficient manner.
  • Maintain the reception area, ensuring it is tidy and presentable at all times.
  • Manage incoming and outgoing mail and packages, ensuring timely distribution.
  • Schedule and confirm appointments, meetings, and conference room bookings.
  • Assist in organizing company events and facilitate communication for attendees.
  • Provide general administrative and clerical support to other office staff.
  • Update calendars and schedule meetings, ensuring all parties are informed.
  • Monitor office supplies and place orders when necessary to maintain stock levels.
  • Handle sensitive information in a confidential and professional manner.
  • Assist with data entry and maintain accurate records for various office operations.
  • Support onboarding processes by coordinating with HR for new employee setup.

Requirements

  • Proven experience as a receptionist or in a related customer service role.
  • Excellent verbal and written communication skills are essential.
  • Proficient in Microsoft Office Suite and basic knowledge of office equipment.
  • Strong organizational skills with the ability to multitask effectively.
  • Attention to detail and problem-solving skills are crucial for success.
  • Friendly, approachable demeanor with a customer-first attitude.
  • High school diploma or equivalent required; additional qualifications a plus.
