Job Description

We are seeking a highly organized and proactive Personal Assistant to support our executive team. The ideal candidate will have excellent organizational skills, be highly attentive to details, and possess the ability to manage multiple priorities in a fast-paced environment. As a Personal Assistant, you will be responsible for ensuring that all administrative tasks are executed smoothly and efficiently, allowing the executive team to focus on strategic initiatives. Your role will involve coordinating schedules, managing communications, and handling confidential information with the utmost discretion. Responsibilities

  • Maintain and organize the executive’s calendar, scheduling appointments efficiently.
  • Coordinate and manage travel arrangements, including logistics and itineraries.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Prepare and edit correspondence, communications, and other documents as needed.
  • Assist in the preparation of meeting agendas, take minutes, and follow up on action items.
  • Screen and manage phone calls, emails, and communication on behalf of the executive.
  • Conduct research and compile data to assist in decision making and problem-solving.
  • Manage and organize files, both electronic and physical, for easy access and retrieval.
  • Support the executive with personal tasks, errands, and project management as required.
  • Coordinate with internal departments to facilitate communication and information flow.
  • Oversee event planning and execution for special occasions and corporate functions.
  • Provide assistance in budgeting, expense tracking, and financial reporting as needed.

Requirements

  • Proven experience as a Personal Assistant or similar administrative role required.
  • Exemplary verbal and written communication skills are essential for the role.
  • Strong organizational and time-management skills with keen attention to detail.
  • Proficiency in MS Office and familiarity with office management software and tools.
  • Ability to manage multiple tasks and projects with a high level of efficiency.
  • Discretion and confidentiality are imperative when handling executive communications.
  • A proactive approach to problem-solving with strong decision-making abilities.
