Job Description

We are seeking a meticulous and detail-oriented Documentation Officer to join our dynamic team. The successful candidate will play a critical role in managing, organizing, and maintaining our organization's vital documents and records. The Documentation Officer will ensure that all company documentation is complete, accurate, and easily accessible to authorized personnel. This role requires a person with exceptional organizational skills, attention to detail, and an understanding of regulatory requirements related to document control. The ideal candidate will have experience in document management systems and be capable of working independently as well as collaboratively with various departments to support their documentation needs.


Responsibilities

  • Develop and implement efficient document management systems and procedures.
  • Ensure all documents are maintained and managed according to company policies.
  • Coordinate document control operations, supporting company-wide documentation efforts.
  • Review and verify technical documents for accuracy and completeness.
  • Maintain document databases, ensuring timely and accurate data entry and retrieval.
  • Provide training and support to staff in document procedures and usage.
  • Regularly audit document management systems for compliance and accuracy.
  • Ensure secure storage and proper backup of physical and electronic documents.
  • Collaborate with departments to streamline and standardize document processes.
  • Assist in drafting, editing, and formatting various company documents as needed.
  • Prepare documentation reports and summaries for management review.
  • Stay current with industry standards and regulations on document control.

Requirements

  • Bachelor’s degree in Business Administration, Information Management, or related field.
  • Proven experience in document management or document control role.
  • Strong understanding of document control principles and standards.
  • Proficient in using document management software and Microsoft Office Suite.
  • Excellent organizational skills with high attention to detail and accuracy.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong communication skills, both written and verbal, with diverse audiences.
