Job Description

The Clinic Coordinator plays a crucial role in ensuring the smooth operation of a healthcare facility by managing daily administrative tasks. This position requires a highly organized and detail-oriented individual who can multitask efficiently in a fast-paced environment. The Clinic Coordinator acts as the first point of contact for patients and visitors, ensuring that everyone receives top-notch service from the moment they step into the clinic. This role involves coordinating appointments, handling patient records, and supporting medical staff with various clerical duties. Strong communication skills are essential as the coordinator frequently interacts with both patients and healthcare professionals, facilitating effective communication and cooperation among all parties. Responsibilities

  • Schedule and coordinate patient appointments, ensuring accurate and efficient calendar management.
  • Maintain and update patient records, ensuring all data is kept confidential and secure.
  • Greet patients and visitors, providing excellent customer service at all times.
  • Assist medical staff with clerical tasks, including document preparation and filing.
  • Manage phone calls and respond to inquiries, directing them to appropriate departments as needed.
  • Ensure the clinic environment is clean, organized, and welcoming for patients and staff.
  • Handle billing and insurance processing, ensuring accurate and timely submission of claims.
  • Monitor and order clinic supplies, maintaining adequate stock levels at all times.
  • Prepare reports on clinic activities, appointments, and other operational metrics for management review.
  • Coordinate with external providers and vendors for services and supplies as needed.
  • Assist in the implementation of clinic policies and procedures to improve efficiency.
  • Facilitate communication between patients and healthcare providers for effective care delivery.

Requirements

  • High school diploma or equivalent; associate degree preferred in related field.
  • Minimum of two years of experience in a healthcare or clinic environment.
  • Strong organizational skills with the ability to multitask effectively and manage time.
  • Excellent communication skills, both verbal and written, for patient interaction.
  • Proficient in Microsoft Office Suite and clinic management software applications.
  • Knowledge of medical terminology and healthcare operations highly advantageous.
  • Ability to handle confidential information discreetly and professionally at all times.
