Responsibilities

  • Manage and organize office documents, files, and records efficiently and accurately.
  • Coordinate and schedule meetings, appointments, and travel arrangements for staff.
  • Greet and assist visitors and ensure a welcoming atmosphere in the office.
  • Handle incoming and outgoing mail and distribute it to the appropriate personnel.
  • Maintain office supplies inventory and place orders for replenishment as needed.
  • Assist in the preparation of regularly scheduled reports and presentations.
  • Provide support in the organization of company events, meetings, and conferences.
  • Answer and direct phone calls, taking detailed messages when necessary.
  • Support team members with various administrative tasks and projects as required.
  • Ensure cleanliness and organization of common office areas, including meeting rooms.
  • Operate office equipment such as photocopiers, printers, and fax machines efficiently.
  • Facilitate communication within the office through emails, memos, and announcements.

Requirements

  • High school diploma or equivalent qualification is mandatory for this position.
  • Proven experience as an office assistant or in a similar administrative role.
  • Strong organizational skills with the ability to multitask efficiently.
  • Excellent written and verbal communication skills are essential.
  • Proficiency in Microsoft Office Suite and other office management software tools.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Customer service-oriented mindset and professional appearance at all times.
