The Front Office Assistant plays a crucial role in maintaining the front desk operations of an organization. Responsibilities

  • Manage daily mail and distribute correspondence to the appropriate departments.
  • Monitor office supplies and place orders to ensure office needs are met timely.
  • Maintain visitor logs and provide access badges to guests as required.
  • Facilitate all incoming and outgoing communications to enhance operational flow.
  • Handle customer inquiries, providing relevant information with patience and precision.
  • Coordinate meeting room usage, scheduling bookings as necessary to support business functions.
  • Assist with administrative tasks such as filing, data entry, and document management.
  • Support the office team with event coordination and logistical planning as needed.
  • Ensure the reception area and office spaces are tidy, organized, and well-presented.
  • Utilize problem-solving skills to address and resolve administrative challenges effectively.

Requirements

  • Proven experience as a Front Office Assistant or similar role preferred.
  • Exceptional organizational skills and attention to detail are crucial.
  • Strong written and verbal communication skills are essential for success.
  • Proficiency in Microsoft Office Suite and office management software.
  • Ability to multitask and prioritize work effectively in a busy environment.
  • Excellent customer service skills with a polite and helpful manner.
  • High school diploma or equivalent qualification; additional certification is a plus.
