The Front Desk Executive plays a pivotal role in creating a welcoming and efficient environment for guests and clients. As the first point of contact, this position requires a professional and friendly demeanor to handle inquiries, manage scheduling, and facilitate smooth operations. Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person or department efficiently.
  • Answer, screen, and forward incoming phone calls promptly.
  • Ensure the reception area is tidy and presents a professional image.
  • Coordinate meetings and maintain conference room schedules accurately.
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort, and distribute daily mail or deliveries expediently.
  • Maintain office security by following safety procedures and controlling access.
  • Assist with administrative tasks such as filing, photocopying, and faxing when required.
  • Keep updated records of office expenses and costs regularly.
  • Arrange travel and accommodations and prepare vouchers when necessary.
  • Support staff and management in other duties as assigned to enhance productivity.

Requirements

  • Proven work experience as a Front Desk Executive or similar role.
  • Proficient in Microsoft Office Suite for handling administrative tasks.
  • Hands-on experience with office equipment like printers and fax machines.
  • Professional attitude and appearance with excellent interpersonal skills.
  • Strong communication skills, both written and verbal, are essential.
  • Excellent organizational skills and ability to multitask in a busy environment.
  • High school diploma; additional certification in Office Management is a plus.
