Job Description

The Executive Assistant plays a crucial role in ensuring the smooth functioning of the executive team by providing comprehensive support services. This role requires an individual with exceptional organizational skills who can manage multiple tasks and anticipate the needs of the executives they support. The Executive Assistant is tasked with handling a variety of administrative and clerical duties. This includes managing calendars, scheduling meetings, and arranging travel. In addition, the Executive Assistant serves as a gatekeeper and primary point of contact for all requests directed to the executive team. Discretion and confidentiality are key in this role, as the Executive Assistant will handle sensitive information. The right candidate will be someone who is proactive, resourceful, and has the ability to think on their feet. This position offers an opportunity to work at the heart of the organization and requires an individual who can work independently while also being part of a team.


Responsibilities

  • Manage and coordinate the executive team's schedules and appointments efficiently.
  • Screen phone calls and emails, directing them to the appropriate personnel.
  • Plan and organize meetings, including preparing agendas and taking minutes.
  • Arrange detailed travel itineraries for business trips and conferences.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Serve as a liaison between the executive team and internal or external stakeholders.
  • Conduct research, compile data, and prepare briefs for senior management.
  • Manage administrative projects and events on behalf of the executive staff.
  • Maintain filing systems, both digital and paper, ensuring documents are up to date.
  • Coordinate cross-departmental tasks and communications to support executive goals.
  • Handle confidential information with discretion and maintain executive confidentiality.
  • Support executive team in strategic initiatives and facilitate their implementation.

Requirements

  • Bachelor's degree in Business Administration or related field preferred.
  • Proven experience as an executive assistant or in a similar role.
  • Exceptional organizational and time-management skills required for this role.
  • Proficiency in office software such as Microsoft Office and Google Workspace.
  • Strong written and verbal communication skills are essential for success.
  • Ability to handle multiple tasks and prioritize workload effectively.
  • Experience working with senior management and understanding their needs.
  • Excellent problem-solving skills and the ability to work independently.
  • Attention to detail and the ability to maintain confidentiality.
