Job Description

The Front Office Associate acts as the first point of contact between a company and its clients. This role requires exceptional customer service skills, organizational abilities, and a high level of professionalism. The Front Office Associate is responsible for managing the reception area, answering phones, handling inquiries, assisting with scheduling, and liaising with various departments. They contribute significantly to the overall impression of the organization, ensuring that visitors and clients feel welcomed and valued. This position demands someone who is proactive and capable of handling a dynamic environment with a calm and positive attitude, ensuring efficient and effective operations at the front desk.


Responsibilities

  • Greet and welcome visitors warmly and direct them appropriately.
  • Answer, screen, and forward incoming phone calls in a professional manner.
  • Maintain security by following procedures and controlling access.
  • Schedule and coordinate meetings, appointments, and travel arrangements as necessary.
  • Handle customer inquiries and complaints, providing timely and accurate information.
  • Manage the reception area to ensure it is neat, presentable, and fully equipped.
  • Assist in handling correspondence, documents, and mail distribution effectively.
  • Keep updated records of office expenses and costs for budget maintenance.
  • Collaborate with other departments to ensure the smooth operation of administrative tasks.
  • Provide basic and accurate information in-person and via phone/email.
  • Order front office supplies and keep an inventory of stock.
  • Coordinate with facility management to resolve any maintenance issues.

Requirements

  • High school diploma or equivalent; additional certification is a plus.
  • Proven work experience as a Front Office Associate or similar role.
  • Proficiency in Microsoft Office Suite and office management software.
  • Strong organizational skills with the ability to multitask efficiently.
  • Excellent communication and interpersonal skills for effective client interaction.
  • Customer service attitude with strong problem-solving abilities.
  • Ability to handle emergencies and adverse situations promptly and efficiently.
