Responsibilities

  • Manage and distribute incoming and outgoing communication and correspondence efficiently.
  • Maintain office supplies inventory by checking stock and placing orders when necessary.
  • Organize and schedule appointments, meetings, and conference calls as required.
  • Assist in preparing and distributing memos, letters, invoices, and other documents.
  • Provide support in organizing company events, workshops, and training sessions.
  • Coordinate with various departments to ensure a streamlined workflow in the office.
  • Handle filing, and data entry tasks, and keep records accurately updated.
  • Greet and assist visitors, clients, and vendors in a courteous manner.
  • Assist in processing and recording of accounts payable and receivable transactions.
  • Support the HR department with recruitment, onboarding, and other administrative tasks.
  • Ensure the office environment remains tidy, well-organized, and conducive to productivity.
  • Perform other clerical duties such as photocopying, faxing, and mailing as needed.

Requirements

  • High school diploma or equivalent; additional qualifications are a plus.
  • Proven experience as an office assistant or in a similar administrative role.
  • Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint) is essential.
  • Strong written and verbal communication skills with attention to detail.
  • Ability to multitask, prioritize, and manage time effectively under minimal supervision.
  • Excellent organizational skills and a high level of accuracy in tasks.
  • Friendly, approachable demeanor with a customer-oriented mindset.
