Responsibilities

  • Greet visitors warmly and direct them appropriately according to their needs.
  • Handle incoming calls, transfer calls, and take messages effectively.
  • Maintain the reception area to ensure a clean and organized environment.
  • Manage appointment schedules and coordinate with team members for bookings.
  • Assist in handling administrative tasks and office supplies management.
  • Provide accurate information about the organization and its services to visitors.
  • Coordinate with maintenance staff for issues in the reception or office area.
  • Distribute incoming mail and manage outgoing correspondence systematically.
  • Ensure compliance with all company policies, procedures, and safety standards.
  • Prepare reports and perform data entry duties as required by management.
  • Act as a liaison between clients and staff to facilitate smooth communication.
  • Handle inquiries professionally and redirect calls or information as necessary.

Requirements

  • High school diploma or equivalent education is mandatory for the role.
  • Previous experience as a receptionist or in a similar customer service role.
  • Excellent communication skills with a friendly and professional demeanor.
  • Proficiency in Microsoft Office Suite and general computer skills are essential.
  • Ability to handle multiple tasks simultaneously and work in a fast-paced environment.
  • Strong organizational skills and attention to detail are crucial for this position.
  • Must be punctual and dependable with a strong sense of responsibility.
