Job Description

An Events Associate plays a critical role in the planning, coordination, and execution of events which may range from corporate conferences to social gatherings. In this dynamic position, you will work closely with an event manager or team to ensure every detail is attended to, from securing venues to overseeing logistics, and coordinating with vendors. The ideal candidate is highly organized, excellent at multi-tasking, and has superb communication skills. This position requires a significant amount of creativity, as well as a strong understanding of event coordination best practices. With a combination of administrative tasks and creative input, an Events Associate is essential to creating memorable and successful events that meet the goals and expectations of the organizers and participants.


Responsibilities

  • Assist in the planning and execution of events from start to finish.
  • Coordinate with external vendors, suppliers, and venues to ensure services are timely.
  • Manage event budgets, track expenses, and provide detailed financial reports.
  • Support the development and distribution of promotional materials and invitations.
  • Organize event logistics including transportation and accommodation arrangements.
  • Liaise with marketing and PR teams to maximize event promotion and exposure.
  • Oversee the setup, tear down, and clean-up of event spaces following events.
  • Ensure compliance with insurance, legal, health, and safety obligations.
  • Maintain a database of event participants and manage registration systems.
  • Analyze the success of events through collected data and provide improvement suggestions.
  • Address and resolve any issues that arise before, during, and after the event.
  • Facilitate follow-up communication post-event to gather feedback and retention.

Requirements

  • Bachelor’s degree in Hospitality Management, Event Planning, or a related field.
  • At least 2 years of experience working in event coordination or management.
  • Demonstrated ability to manage budgets and adhere to financial guidelines.
  • Outstanding organizational and time management skills with attention to detail.
  • Excellent written and verbal communication skills for effective stakeholder interactions.
  • Proficiency in event management software and related computer applications.
  • Capacity to work flexible hours, including evenings and weekends as required.
