We are seeking a highly organized and efficient Administrative Assistant to join our dynamic team. As an Administrative Assistant, you will play a crucial role in supporting the management and employees through a variety of tasks related to organization and communication. You will be responsible for maintaining a seamless flow of the office's operations by efficiently handling various administrative and clerical tasks. Responsibilities

  • Organize and schedule appointments with efficiency and attention to detail.
  • Plan meetings and take detailed minutes for future reference and action.
  • Act as the point of contact for internal and external clients and stakeholders.
  • Assist in the preparation of regularly scheduled reports to ensure timely submissions.
  • Develop and maintain a filing system to ensure document security and accessibility.
  • Update and maintain office policies and procedures for operational efficiency.
  • Order office supplies and research new deals and suppliers for cost-effectiveness.
  • Maintain contact lists to ensure information is current and accessible.
  • Book travel arrangements and itineraries as per company policies and guidelines.
  • Submit expense reports and handle reconciliation for accurate financial reporting.
  • Provide general support to visitors, ensuring a professional office atmosphere.
  • Assist in special projects and assignments as required by management staff.

Requirements

  • Proven experience as an administrative assistant or in a similar role.
  • Proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook.
  • Strong organizational, time management, and problem-solving skills are essential.
  • Excellent written and verbal communication skills are expected.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • High school diploma or equivalent; additional qualifications are advantageous.
  • Knowledge of office management systems and procedures is preferred.
