Job Description

The Receptionist plays a vital role as the face of our organization, making that all-important first impression for clients, visitors, and staff. The ideal candidate will possess a welcoming and approachable demeanor, paired with excellent communication skills. In addition to managing the front desk, the Receptionist will be responsible for directing phone calls, handling inquiries, and executing administrative tasks efficiently. A talent for organization combined with multitasking abilities is key, as the role requires handling a variety of tasks in a fast-paced environment. As the friendly point of contact, the Receptionist must ensure that clients and visitors receive a warm welcome, and quick assistance, and leave with their inquiries thoroughly addressed.


Responsibilities

  • Greet and welcome visitors, ensuring a positive first impression of the company.
  • Answer and direct phone calls promptly and with professional etiquette.
  • Maintain a tidy and welcoming reception area, ensuring it is presentable at all times.
  • Provide basic and accurate information in-person and via phone or email.
  • Receive, sort, and distribute daily mail, packages, and deliveries diligently.
  • Coordinate with facility management for scheduling meetings and booking conference rooms.
  • Assist in the preparation of regularly scheduled reports and presentations.
  • Maintain office security by following procedures and controlling access via the reception desk.
  • Track and maintain office supplies inventory; order supplies when necessary.
  • Support office staff in the handling of clerical duties such as photocopying, scanning, and filing.
  • Assist with special projects as needed, offering administrative support across the team.
  • Provide excellent customer service and handle inquiries with professionalism and poise.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and additional customer service software tools.
  • Strong communication skills with a focus on verbal and written clarity.
  • Professional attitude and appearance, with a great work ethic.
  • Strong organizational skills and an ability to manage time effectively.
  • Customer service attitude with the ability to handle clients politely and efficiently.
  • High school diploma; additional certification in Office Administration is a plus.
