Job Description

We are seeking a professional and friendly Receptionist to join our dynamic team at our busy office. As the first point of contact for our clients and visitors, you will have a pivotal role in managing the reception area and ensuring a smooth, welcoming experience for everyone. Your excellent communication and organizational skills will be vital in efficiently handling calls, managing appointments, and performing a variety of administrative tasks. You should be adept at creating a warm and engaging environment while maintaining professionalism at all times. This position requires someone with a keen eye for detail, the ability to juggle multiple tasks at once, and a proactive attitude toward problem-solving. Responsibilities

  • Greet and welcome guests promptly upon their arrival at the office.
  • Direct visitors to the appropriate person and office or meeting room.
  • Answer, screen, and forward incoming phone calls with efficiency and clarity.
  • Provide accurate information both in-person and via phone or email.
  • Maintain the reception area, ensuring it is tidy and presentable at all times.
  • Receive, sort, and distribute daily mail and deliveries accurately.
  • Manage and schedule appointments, and maintain an updated visitor’s log.
  • Coordinate office security by controlling access via the reception desk.
  • Assist in preparation and logistical arrangements for company meetings and events.
  • Perform administrative support tasks, such as documentation and filing efficiently.
  • Handle special administrative projects as assigned by management promptly.
  • Assist colleagues with various administrative tasks as needed in a collaborative manner.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency with Microsoft Office Suite and basic computer literacy skills.
  • Strong organizational skills with the ability to multi-task effectively.
  • Excellent verbal and written communication skills are essential for this role.
  • A customer-service oriented professional with strong interpersonal abilities.
  • High school diploma; additional certifications in Office Management are a plus.
  • Ability to be resourceful when issues arise and think critically to solve them.
