Responsibilities

  • Greet and welcome visitors with a friendly and professional demeanor.
  • Answer and direct phone calls to the appropriate staff members promptly.
  • Maintain a tidy and orderly reception area, ensuring it is presentable.
  • Schedule and manage appointments and meetings for staff members efficiently.
  • Handle incoming and outgoing mail and packages with diligence and accuracy.
  • Provide general information about the company and answer inquiries courteously.
  • Assist with administrative tasks such as data entry and document filing.
  • Coordinate with various departments to facilitate smooth office operations.
  • Ensure all visitors adhere to security and safety procedures upon arrival.
  • Maintain inventory of office supplies and place orders when necessary.
  • Support special projects and events as required by management.
  • Act as the first point of contact for emergency or urgent matters.

Requirements

  • Proven experience as a receptionist or in a similar customer service role.
  • Excellent verbal and written communication skills are essential.
  • Strong organizational skills with the ability to multitask effectively.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other software.
  • Friendly and professional telephone etiquette and interpersonal skills.
  • Ability to handle sensitive and confidential information with discretion.
  • High school diploma or equivalent; additional certification is a plus.
