Job Description

A Property Administrator is a key facilitator in the management and administration of residential, commercial, or industrial properties. This role involves overseeing the day-to-day operations, performing administrative tasks related to property management, and ensuring compliance with applicable laws and regulations. The Property Administrator acts as a liaison between property owners, tenants, and vendors to ensure smooth and efficient operations of the property. They are responsible for maintaining property records, handling tenant inquiries, coordinating repairs and maintenance, and supporting lease administration. A keen eye for detail, strong organizational skills, and excellent communication abilities are essential for success in this role. By working closely with property managers, this professional helps in enhancing property value and optimizing the tenant experience.


Responsibilities

  • Maintain organized records of all property-related transactions and documents.
  • Coordinate maintenance requests and ensure timely resolution of issues raised by tenants.
  • Assist in the preparation and administration of lease agreements and renewals.
  • Communicate effectively with tenants to address inquiries and concerns in a timely manner.
  • Collaborate with property managers to develop strategies for property improvement and tenant satisfaction.
  • Monitor payment records and assist in the collection of rent and other fees from tenants.
  • Ensure compliance with relevant property laws and regulations to avoid legal challenges.
  • Organize and attend property meetings, preparing necessary documents and reports in advance.
  • Conduct property inspections to monitor condition and arrange necessary maintenance or repairs.
  • Support marketing efforts to attract and retain quality tenants for properties.
  • Assist in budget preparation and track financial transactions against the budget.
  • Manage vendor relationships and negotiate contracts to secure favorable terms.

Requirements

  • Bachelor's degree in Business Administration, Real Estate Management, or related field.
  • Proven experience in property management or a related administrative role.
  • Strong understanding of property laws, leasing agreements, and tenant rights.
  • Excellent communication and interpersonal skills for tenant and vendor interaction.
  • Strong organizational skills with attention to detail and the ability to multitask.
  • Proficiency in property management software and Microsoft Office Suite.
  • Ability to work independently and collaboratively in a fast-paced environment.
