Job Description

As an Administrative Officer, you will play a crucial role in ensuring the smooth and efficient operation of the organization. Your overarching responsibility is to provide high-level administrative support to various departments, which may include managing schedules, organizing meetings, handling correspondence, and ensuring that office operations are managed effectively. You will be the central point of contact for internal and external communications, requiring exceptional administrative and organizational skills. This position demands a proactive approach, requiring you to anticipate the needs of the office and independently handle various administrative tasks. Additionally, as an Administrative Officer, you need to ensure that company policies and procedures are followed and coordinate with staff to support daily operations and strategic initiatives. Responsibilities

  • Coordinate and manage the organization's general administrative activities efficiently.
  • Maintain and update records and files, ensuring all data is accurate and accessible.
  • Organize and schedule meetings, appointments, and events with staff and stakeholders.
  • Prepare reports, presentations, and correspondence in a timely and professional manner.
  • Manage the procurement of office supplies and equipment to ensure seamless operations.
  • Oversee the maintenance and operation of office facilities and equipment effectively.
  • Assist in the development and implementation of new administrative procedures and policies.
  • Act as a point of contact for internal and external communications and inquiries.
  • Collaborate with HR for onboarding processes and maintain personnel records.
  • Support the finance department in processing invoices, reimbursements, and budgets.
  • Ensure organizational compliance with relevant laws, regulations, and policies.
  • Promote a positive and efficient work environment through effective communication.

Requirements

  • Bachelor’s degree in Business Administration or a related field is preferred.
  • Proven experience in an administrative role with substantial responsibility.
  • Strong organizational, communication, and interpersonal skills are essential.
  • Proficiency with office management software such as Microsoft Office Suite.
  • Ability to manage multiple tasks efficiently in a fast-paced environment.
  • Demonstratable problem-solving skills and attention to detail are required.
  • Knowledge of office administration responsibilities, systems, and procedures is advantageous.
