The role of a Personal Secretary - Female involves providing high-level administrative support to the executive by conducting research, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. The ideal candidate will be proactive, possess remarkable organizational skills, and exercise discretion in handling confidential information. Working in a fast-paced environment, the Personal Secretary will coordinate activities and ensure that the executive's day-to-day operations run smoothly. Her ability to prioritize tasks, communicate effectively, and remain agile under pressure will be key attributes. The role demands flexibility in approach alongside a commitment to upholding the standards and expectations of a high-profile professional setting. Strong attention to detail and the ability to work independently and manage multiple tasks concurrently are essential. 


Responsibilities

  • Manage and coordinate the executive's schedule, appointments, and itineraries daily.
  • Organize and prioritize multiple tasks effectively, ensuring timely completion.
  • Draft, review, and send communications on the executive's behalf with precision.
  • Plan, organize, and prepare documents for meetings and presentations efficiently.
  • Handle confidential information with discretion and ensure data security at all times.
  • Receive visitors and determine whether they should be given access to specific individuals.
  • Research and analyze data to prepare reports and documents as required by the executive.
  • Facilitate communication between the executive and internal/external stakeholders.
  • Address inquiries and provide information when needed in a timely manner.
  • Assist with special projects and initiatives as directed by the executive to support business needs.


Requirements

  • Bachelor's degree in Business Administration or a related field preferred.
  • A minimum of 3 years of experience as a personal secretary or in similar roles.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is necessary.
  • Exceptional verbal and written communication skills with attention to detail.
  • Strong organizational and time-management skills to juggle multiple tasks efficiently.
  • Ability to maintain confidentiality and handle sensitive information with reliability.
  • Polished and professional demeanor with excellent interpersonal skills.
  • Flexibility to occasionally work outside regular hours as needed by the executive.
  • Problem-solving skills and ability to work independently or as part of a team.
  • Prior experience in a corporate environment dealing with senior executives.
